Preparing a category review that finance will sit through

How to structure a purchasing category review so finance partners stay engaged past the first slide.

Finance partners leave early when a category review opens with process diagrams. They stay when the first visual answers three questions: how much did we spend, against whom, and what changed since last quarter.

Open with the total and the movement. Follow with the top five suppliers and any new entrants. Only then move into savings hypotheses or renegotiation plans. Attach a one-page appendix for taxonomy choices and data gaps so the main deck stays readable.

In our Bangkok briefings we print a single heat map of categories by spend and volatility. It becomes the shared object in the room — people point at cells instead of arguing about remembered anecdotes. That habit alone shortens many reviews.

Close with decisions required: approve a dual-source plan, fund a deep-dive, or accept a documented gap until the next extract cycle. A review without a decision list becomes a storytelling hour.
